Client Services Coordinator

Position Overview

Barbee Law Boutique, PLLC is looking for a full-time Client Services Coordinator to serve a front-facing role with the firm’s clients, providing support to those clients from inquiry to completion. This position will be primarily remote with limited in-person meetings. The ideal candidate will be located in the Greater Springfield, Massachusetts area.

This position is for someone who is entrepreneurial, a self-starter, who enjoys new adventures and challenges, and who is willing to take on a variety of responsibilities.  Candidates must have experience and a willingness to work with diverse populations.

The Client Services Coordinator will work closely with Delania Barbee, Esq., Founder and Managing Attorney of the firm. The candidate is expected to be available during business hours and be able to promptly respond to Attorney Barbee and other members of the team.

Who We Are

Barbee Law Boutique, PLLC is a solo minority- and women-owned law firm based in Springfield, Massachusetts. The firm is primarily a virtual law practice with clients across the country. Our mission is to empower business owners, particularly those from historically marginalized communities, to protect and build their businesses and legacies. We do this by delivering strategic business, intellectual property, and estate planning legal counsel and other resources.

Responsibilities, Requirements, and Results

Responsibilities Include:

  • Completing prospective client calls and responding to calls

  • Handling email communication (e.g., respond to inquiries from prospective clients) and other administrative tasks

  • Obtaining and organizing electronic documents

  • Drafting letters

  • Confirming that client information is included in systems

  • Scheduling appointments for clients and potential clients

  • Preparing and sending client engagement letters and invoices

  • Assisting with trademark and other legal matters

  • Closing client matters

  • Documenting processes

  • Maintaining regular communication with Managing Attorney as directed

  • Attending trainings

Results:

  • New client matters are prepared for attorney engagement.

  • Documents are drafted for attorney review.

  • Potential clients and clients receive prompt communication.

  • Client matters are closed promptly and in accordance with firm standards.

  • Processes are documented.

Requirements: 

The successful candidate for Client Services Coordinator will possess the following qualities:

  • Customer service experience.

  • High-level verbal and written communication skills.

  • Experience completing administrative tasks.

  • Leadership experience.

  • Experience working with diverse populations.

  • Ability to set goals and develop achievable timelines to hit them.

  • No problem handling a variety of tasks.

  • Organized and efficient.

  • Detail-oriented.

  • Delivers well ahead of deadlines.

  • Can effectively work with others and work alone.

  • Problem solver.

  • Computer and online proficient.

  • Experience with Word Processing, video conferencing, cloud storage, and social media.

  • A quiet, private home working environment, including:

    • A computer

    • Cell phone

    • High-speed internet

  • Willingness to work occasional nights and weekends.

Preferred qualities include:

  • At least two years of college.

  • Experience working in a legal setting.

  • Experience working with legal practice management tools and client relationship management systems.

  • Experience with online schedulers and email marketing systems.

Salary, Benefits and Start

Salary is dependent on experience and starts at $35,000. Benefits to be discussed. The anticipated start date will be January 4, 2021. A 90-day probationary period is required.
